Purpose of Role

The key purpose of the role is to provide first class administrative support to two Executive Directors of the business. The Executive Assistant is an extension of their Executives and demonstrates living the McLaren Automotive values and acts as a professional brand ambassador. The Executive Assistant will be proactive and efficient in ensuring that their Executive Directors are set up each day to achieve and deliver.

This will involve the provision of strong and effective administrative, organisational, logistical and analytical support. The candidate will lead and manage business wide projects over the short to medium term and build, maintain and nurture relationships and act as a central point of coordination and communication.

The candidate will be a role model and demonstrates living the McLaren Automotive values and act as a professional brand ambassador.

Principal Accountabilities

  • Complex diary management- agree format and length of meetings as well as priorities for Exec and team.
  • Inbox management- Track responses, send/ draft emails.
  • Preparation of agendas, presentations, and attendance of meetings and minute taking.
  • Plan and book Executive Directors' international & domestic travel.
  • Preparation of complex travel agendas and visa applications.
  • Prepare and co-ordinate monthly expense returns for both cash and credit card expenses.
  • Raise requisitions and purchase orders
  • Produce accurate and proof-read documents and correspondence for external and internal audiences.
  • Project work- Ad hoc and defined link to business area. Oversee/ deliver based on scope.
  • Lead or contribute to projects as required
  • Effective project management principles applied to all project work
  • Presentation and report collation
  • Proactively recognise process improvements and suggest innovative solutions
  • Event coordination - Townhalls and Director events
  • Support and cover the wider Assistant team during holiday, sick days (Incl office coordination)
  • Assist with wider company events when required

Knowledge, Skills and Experience

  • The scope of work is challenging, varied and often conducted to tight deadlines. The successful candidate will need to work well under pressure and have excellent communication skills.
  • Proven experience of successfully assisting Senior Executives
  • Ability to work in a fast-paced environment, being flexible in approach to meet requirements
  • Excellent stakeholder management skills
  • Able to build and maintain key relationships, both internally and externally
