Purpose of the Role:

You’ll help deliver the brand experience at the McLaren Technology Centre for our key stakeholders, our Partners, the team, and guests. You will be involved in key projects and experiences and help support the rest of the team with the delivery of some truly world-class McLaren brand experiences.

Working on a variety of stakeholder events, you will deliver interactive, exciting, and unique brand experiences to optimise the guest interaction with the brand, highlighting key messaging throughout and driving emotional engagement.

The successful applicant will have direct responsibility for their own events as well as supporting the team in wider projects. You will ensure all activations represent the McLaren Brand and are positioned as world-class to generate commercial opportunities for McLaren throughout all touch points.

This role requires a high volume of administration as well as being on site for events in Woking. Whilst some events are pre-planned, most are often very last minute, so flexibility and agility is key to this position. Significant collaboration across multiple business functions is essential to ensure the commercial success of all events and the wider business. It requires a high level of attention to detail, an ability to work in a fast-paced, high-performance environment, and be highly organised as well as adaptable.

Whilst there is hybrid working in place, due to the nature of the role, it will be essential for the candidate to be office based for most of the working week. The role also requires unsociable hours including weekends.

The Team:

You will join our Internal Events team which is part of our Brand Experience function. Reporting into our Head of Internal Events, the role is fast-paced and varied, with a team who are determined and look to push boundaries in everything they do through continuous review and innovation. The goal is to provide the best guest experiences possible. The successful candidate will need to be relentless in the pursuit of better, and always look for ways to improve and build efficiencies across working practices. The events we deliver span across all five of our championships and you will collaborate with multiple stakeholders to drive innovation, learning and broader development.

Principal Accountabilities:

Event Management

  • Planning, administration, and execution of a variety of key stakeholder events delivered to the McLaren world-class standard. Events range in size and complexity, including but not limited to content capture, networking events, tours, meetings, employee engagement events, large-scale boulevard dinners, conferences, and race viewings.
  • Lead and support event delivery for content capture requirements for both external and internal stakeholders, including Partners.
  • Support the team with other events as required on the day and sometimes in the planning.
  • On-site event management, working with various internal and external stakeholders to oversee logistics and ensure delivery to the McLaren standard.
  • Deal with conflicting and challenging situations as they arise to ensure no impact on the guest experience.

Administration

  • Administration of event enquiries, ensuring bookings are managed in a timely manner.
  • Working with the team to schedule events and manage conflicting requirements.
  • Detailed recording of event specifics to ensure accurate reporting via our database.
  • Budget creation and management for each event, ensuring stakeholders have given budget approval and finance systems are updated to ensure accurate invoicing.
  • Creation and timely distribution of event schedules to ensure all stakeholders are kept up to date and able to deliver on requirements.
  • Ensure all health and safety requirements are met.

Suppliers

  • Supplier bookings and briefings for all event requirements, ensuring kept up to date and working within guidelines set.
  • Build and develop strong relationships with key stakeholders, understanding their objectives and business challenges.
  • Day to day management of contracted photographer to capture event images, overseeing booking requirements, delivery of KPIs, and pricing structure.

Process and Innovation

  • Continuous review of event processes to ensure operational efficiency.
  • Support the team and ownership of some wider projects to innovate the brand experience.
  • Collaborate on projects to ensure the continuous development of the guest experience at all events.
  • Day-to-day responsible for the stock management of gifting and event collateral.
  • Help develop a gifting concept with a focus on sustainable materials and innovation.

Job requirements

Knowledge, Skills, and Experience:

Essential

  • Significant proven experience in a similar events role in either a corporate, hotel, or sporting environment with customer focus.
  • Able to manage own workload and prioritise around changing requirements.
  • Excellent attention to detail.
  • Strong IT skills including Excel, PowerPoint, Outlook, Word, and Microsoft Office packages.
  • Highly organised.
  • Agile and able to adapt style to work with stakeholders across multiple levels.
  • Ability to manage multiple tasks simultaneously while working under pressure.
  • Excellent written and oral communication skills.
  • Ability to listen and understand conflicting viewpoints.
  • Problem solving with a solutions-based approach.

Desirable

  • Solid experience in content capture logistics and experience working with crews.
  • Understanding of health and safety requirements for event delivery.
  • Experience in dealing with clients and stakeholders on a global basis at all levels.

McLaren Racing is
based at the iconic McLaren Technology Centre (MTC) near Woking. Our state of

land. The MTC is connected to Woking mainline station via regular
fully-electric shuttle buses, from which London Waterloo is a 30 minute train
ride.
