Events Manager

The Events Manager for Barber Vintage Motorsports Museum will plan, coordinates and executes museum-sponsored and private events both at the museum and off-site to meet the strategic and financial goals of the museum.

This job description is intended to indicate the basic nature of positions allocated and examples of typical duties that may be assigned. It does not necessarily list all possible duties that may be assigned. Duties may include, but are not limited to, the following:

  • Oversee management of onsite events in coordination with the Director of Museum Events and Programs for both outside clients and internal special events including, client interface (by phone and in person site visits), vendor supervision and event set up and breakdown
  • Act as the Event Lead in management of on-site events with responsibility for prioritizing the activities of the Event Operations Coordinator
  • Assist in the development of strategies for achieving monthly booking goals for rental spaces
  • Assist with event rental sales process to include quoting venue rates, preparing client proposals and carrying out site-visits
  • Meet regularly with Museum caterer to plan and review operational items in relation to all Museum events
  • Assist with community outreach and marketing Museum rental opportunities
  • Assist in marketing events and other tasks as requested by management
  • Maintains all event information in event management software program (i.e. Creating itineraries, room layouts etc.)
  • Maintain files for each event
  • Update the calendar of events to include set-up schedules and security needs for the upcoming 2 weeks of events
  • Ensure all payments for events are received in a timely manner
  • Assists in the development and administration of select Museum and Park employee events
  • Maintain flexible work schedule and available to work evening and weekend events
  • Advises clients/users and the public on setup options and types of materials needed to achieve desired results;
  • Maintain/update Economic Impact Report regularly
  • Assists with other event department activities as assigned;
  • Manages outside caterers, and other vendors during events to assure compliance with museum policies and procedures and provide excellent customer service;
  • Assists in the development, marketing, administration and execution of the museum’s annual fund raising event
  • Assists in recruiting additional help and resources needed to accomplish overall goals of the department.

Minimum Requirements/Knowledge/Skills:

  • Qualified candidates should have a Bachelor’s Degree in Communication, Marketing, Hospitality, Event Management or related field. Equivalent experience may substitute for education.
  • A minimum of two years of experience in coordinating a variety of events and activities at a convention center, theater, hotel, museum, or other public use facility
  • Candidates should possess excellent communication skills.
  • Candidates must have the ability to manage multiple projects and work assignments and accomplish projects with little supervision.
  • Candidates must have the ability to make decisions in regards to the success of an event.
  • Candidates must be proficient in Microsoft Office including Outlook, Excel, Word and Powerpoint.
