Race Travel Administrator

Every F1 win is the result of incredible teamwork. Making it happen takes the same level of skill, dedication and teamwork from the Formula 1 team. We’re looking for a Race Travel Administrator to join our team!

This role is a 12 month fixed-term contract maternity cover role based in our London office.

Reporting into the Travel Manager, you will:

  • Provide general administration support to the Formula One World Travel Department.
  • Assist the Race Travel Coordinators with ad hoc hotel and transport contracts, loading information on the travel system, creating and maintaining offer sheets for the current year.
  • Assist raising Purchase Orders and ensure payments are scheduled and actioned at appropriate times.
  • Assist with getting rates from hotels and transport for the following race season, negotiating directly with the supplier where necessary and sending these out to clients, including creating offer sheets, sending confirmations to clients, invoicing and updating bible sheets / rooming lists where suitable.
  • Where applicable help race coordinators with finalizing race accounts and liaise with the finance department in getting invoices out to clients and assist in answering queries that may arise.
  • Assist the Department with D365 / Credit cards statements along with general administration where required.
  • Maintain clear communications with managers, staff and third parties.
  • Assist with liaising with the promoters and via the promoter team in gathering and collating country entry information and other important information to be shared internally and with the wider paddock.
  • Work with hotel global heads to keep abreast of new hotel openings - may require occasional travel on site visits to see new properties.
  • May require occasional travel to races to assist onsite.
