Purpose of the Role:

You’ll be providing a high level of support to the Co-Chief Commercial Officer and team to ensure that their working days run as smoothly and efficiently as possible, enabling them to focus on their responsibilities knowing that all logistics and arrangements have been taken care of.

This dynamic and diverse role is part of the team responsible for generating revenues through acquiring and retaining commercial partners for the McLaren Formula 1 team and wider McLaren Technology Group on a global basis.


Role Dimensions:

Close liaison with:

  • Co-CCO (90%)
  • VP of Americas, EMEA & Asia-Pacific (10% of time)
  • Stakeholders and Executive Assistants
  • Marketing personnel
  • External partners and suppliers as appropriate

Principal Accountabilities:

  • To provide full administrative / coordination support to the Co-CCO including extensive electronic diary management and coordinating arrangements for meetings and assisting on ongoing projects where applicable. Proactive in managing all elements of diary and consistent monitoring and adjusting where needed.
  • Professionally manage correspondence across e-mail, telephone and post through screening and re-directing as required and use own initiative to alert important issues as they arise.
    • Accessing and managing Co-CCO's email inbox
    • Creating and maintaining filing system for emails
    • Ensuring documents are accessible globally via the McLaren cloud platform.
  • Generate email invite campaigns for Co-CCO to prospects and VIPs.
  • Coordinate and support regular department and cross-department meetings including scheduling, agenda drafting, and sharing meeting notes.
  • Responsible for the Co-CCO expenses, and traveling schedule, including:
    • Detailed, accurate and timely management of expenses and department purchases.
    • Proactive in communicating with Travel, booking flights, hotels, Visas and local transportation arrangements, considering options.
    • Detailed and smart scheduling of meetings, considering distances, cultural distinctiveness.
  • Assist with the Co-CCO's relationship management: Database entry for contacts. drafting, sending and tracking invitations.
  • Provide proactive support as required outside of standard working hours including evenings and weekends.
  • Plan complex external visits and meetings for the Co-CCO team at the McLaren Technology Centre including meetings, video/call conferencing, special experiences, tours, gifting and catering. Collaborating with the internal events and catering teams to assist with the execution of the meetings/ visits on the day.
  • Working as part of a team to assist with tasks such as preparing invitations and informational materials, managing attendees, distributing tickets, and providing on-site support during the event.
  • Prepare complex/confidential documents requiring the integration of multiple office technology and software applications.
  • Possess the ability to build trusted relationships with members of the Exec Directors Office, colleagues, clients and their PAs.
  • Work closely with the Commercial team on our prospect database (Salesforce) entry and application of functions.
  • Maintain up to date knowledge on sales pipeline and support Co-CCO with internal memos to key MRL leadership & shareholders.
  • Develop and maintain systems to manage paper and electronic records (OneDrive) relating to partners and prospects;
    • Manage archives of information provided by the company’s external research partner.
    • Manage database of marketing collateral.
  • Responsible for managing confidential and sensitive information.

Job requirements

Knowledge, Skills and Experience:

  • Advanced Windows, iOS and Microsoft knowledge.
  • Ability to work within a large team environment.
  • Considerable experience working in an administrative/PA role within a corporate marketing environment.
  • Methodical, organised and systematic, with a high attention to detail.
  • Demonstrable experience of dealing with people at all levels in a professional manner.
  • Excellent communication skills both verbal and written, as documentation needs to be accurate.
  • Experience handling and working with confidential information.
  • Ability to multi-task in a fast-paced environment, while managing conflicting priorities.
  • Ability to work outside of typical business hours including weekends and checking email, phone methodically and taking action on items that need to be.

McLaren Racing is based at the iconic McLaren Technology Centre (MTC) near Woking.
